How do I get started with SniffHQ?
The first step is reaching out via our contact page or emailing info@sniffhq.app. We'll send you an onboarding questionnaire to learn about your facility — services, pricing, capacity, hours — then we configure your instance from your answers and walk you through it together. Most facilities are fully up and running within a few days.
Can I migrate data from my current software?
Yes. If your current software can export to CSV or Excel, we can import your customer and pet records. Reach out and let us know what format your data is in — we'll walk you through it during onboarding.
Is there a live demo I can try?

Can customers book their own reservations?
Yes. Customers get access to a self-service portal where they can submit boarding and daycare reservation requests. All bookings require staff approval before they're confirmed, so you stay in full control.
How does daycare enrollment work?
Staff enroll pets for specific days of the week (e.g. Mon/Wed/Fri). Each attendance day is logged individually with a check-in and check-out time. Billing is calculated automatically based on frequency — single-day or multi-day weekly rates.
What happens if a customer's pet has expired vaccinations?
Expired or missing vaccination records automatically block the booking form — customers see a clear message explaining which vaccines need to be updated. Staff can also see the status on the customer profile and in the booking workflow. This applies to both customer self-service and admin-created reservations.
Can I set different pricing per customer?
Yes. You can set custom rates per customer on their profile — boarding per night (first pet and additional pets), daycare daily rate, and grooming add-ons. When set, these override the facility defaults automatically on all invoices and estimates for that customer.
How does invoicing work?
Invoices are generated automatically from your boarding and daycare records. You can review the invoice, add custom charges or discounts, and then send it to the customer via SMS with a secure link. Payments are recorded manually (cash or Zelle) and the invoice register tracks open and paid balances.
Can I add discounts or custom charges to an invoice?
Yes. From the invoice page you can add custom line items — a discount (negative amount) or an extra charge (positive amount) — with a description. These are scoped to the specific invoice type (boarding or daycare) so they don't bleed across.
What payment methods does SniffHQ support?
SniffHQ is a management platform, not a payment processor — you collect payment however you prefer (cash, Zelle, Venmo, etc.) and record it in the system. There's no built-in credit card processing, which keeps things simple and avoids processing fees.
Can customers upload their own vaccination records?
Yes. Customers can upload vaccination records (PDF, JPG, or PNG) from their portal. SniffHQ also includes an OCR scanning feature that reads the document and auto-fills the vaccine name and dates — saving customers the hassle of typing everything manually.
Will staff be notified when vaccines are about to expire?
Yes. Staff receive SMS alerts at 30-day and 7-day thresholds before a pet's vaccines expire (configurable in Business Settings). Customers can also optionally receive their own reminders. The vaccination page in the admin dashboard shows all expiring records at a glance.
What SMS notifications are available?
Professional and Enterprise plans include: booking confirmation, checkout estimate (automated at 7 AM on checkout day), invoice sent, vaccination expiry reminders (staff and customer), daycare check-in and check-out confirmation, no-pet follow-up (new customer reminder), and no-vaccine follow-up. Each notification type can be toggled individually in Business Settings.
Do I need my own Twilio account?
Yes — SMS is powered by Twilio and you'll need your own account. Creating a Twilio account is free and messages cost approximately $0.0079 each in the US. For most facilities this adds up to just a few dollars per month. We'll walk you through the Twilio setup during onboarding.
What can Sniffr AI help me with?
Sniffr is your facility's AI assistant, available on Professional and Enterprise plans. You can ask it questions in plain English like "How many dogs are checked in today?", "What's my busiest day for daycare?", "Do I have any outstanding balances?", or "Are there any vaccines expiring this month?" — and it pulls live answers from your database instantly.
Is Sniffr available to customers too?
Yes. Customers get a simplified version of Sniffr focused on their own account — they can ask about upcoming reservations, their balance, and their pets' vaccination status. General FAQ questions about the facility are also answered automatically.
What are the technical requirements?
SniffHQ is a web-based application that runs in any modern browser — no software to install on staff devices. You'll need reliable internet at your facility. For kiosk mode, a tablet with a browser works great. The server-side infrastructure is managed by SniffHQ.
Is my data backed up?
Yes. Your data is stored securely and backed up regularly. If you ever need to export your data or migrate away, we'll provide a full data export in CSV format at any time.
What is my facility's URL?
Every SniffHQ facility gets their own subdomain on sniffhq.app — for example, pawsplace.sniffhq.app. This is the URL you share with customers for booking and the portal. Enterprise customers with Custom Branding can use a different domain setup — contact us for details.
